If you
have been allocated an email account by Adroit, these are instructions to
help you set it up. Firstly it is important to distinguish the difference
between POP and IMAP. POP email is your conventional email account provided
by other ISP's, where all your email is downloaded off the server onto your
own PC. All IMAP email is always stored on the server, but it allows you
to temporarily download emails to view on any PC. When you are finished
with reading your mail, the server logs you off and the mail is left on
the server for next time. This has several advantages but the main one being
that no matter where you go, you can always read your email, even on a web
browser (as explained later).
We are going to explain how to set up your IMAP mail account using Outlook Express, but the same details can be applied to Netscape also. We recommend you use the latest version of Internet Explorer or Netscape, and these can be easily obtained from an Internet magazine at the newsagent, called Internet.au. For this set up purpose, we are using Outlook Express from Internet Explorer 5.
After opening Outlook Express, cancel all operations that it is trying to run and click 'Tools' then 'Accounts'.
Click 'Add' then 'Mail'.
Insert your name.
Insert your email address. This can be either an email alias (like myname@mybusiness.com.au) or your actual email account, i.e. myaccount@redback.adroit.net.
At the heading 'Email Server Names', ensure that the incoming mail server is an 'IMAP' server. The incoming mail server is called 'redback.adroit.net' and the outgoing mail server will be the server name of your ISP, e.g. myaccount@bigpond.telstra.com.au. Ensure that you have typed in the correct server name here otherwise you will be able to receive email, but not send it. If you are unsure about this, please contact your Internet (dial up) service provider.
Now enter your login and password details. These are new account details provided by Adroit an would have been sent to your original email account. Once you finished this, close the set up window and click on the 'redback.adroit.net' mail server in the left hand window in Outlook Express. From here you can select which folders you want to download, usually you will need all of them. It is also advisable that you also adjust your email options by going to 'Tools' then 'Options'. Some of the important ones are mentioned below:
- General Settings - select "When starting, go directly to my Inbox"
- General Settings - select "Check messages every 10 minutes"
- Maintenance Settings - select "Empty messages from the 'Deleted Items' folder on exit"
- Maintenance Settings - select "Purge deleted messages when leaving IMAP folders"
Another important setting in Outlook Express is needed to be completed by going to 'View' then 'Current View' in your menu bar, and then completing the following:
- Check "Show all Messages"
- Uncheck "Show Deleted Messages"
It should also be noted that you can use more than one email account with Outlook Express. For example, you can have your existing email account open with your new IMAP email account open below it. If you are also using an email alias as your email address, you can notify Adroit of how you would like your email aliases linked to your accounts. Call us for more information.
Trouble Shooting
- New Folders can be created, but sub-folders cannot.
- You might need to customise the toolbar buttons and add the button called 'Stop'. This allows you to stop downloading an email that might have a large file attached to it.
- If you delete a message and the message is still shown with a line through it and a cross next to it, you might want to hide your 'deleted messages' as mentioned above.
- Netscape users cannot use by IMAP and POP email accounts simultaneously. Outlook Express is the best email client to do this.
- Netscape users might find it easier to retrieve 'sent' messages by saving a copy of a sent message to their local mail as opposed to their IMAP email account.
As an alternative option to retrieving IMAP email through Outlook Express or Netscape, you can also retrieve your mail by simply opening any web browser and going to http://webmail.adroit.net. Here you can type in your username and password and then retrieve or send your email via the web by using World Pilot. This software is similar to Hotmail, but has far fewer restrictions and no advertising.
